Covid – 19

In the current unprecedented circumstances, the Committee would like to offer advice, support and reassurance to both rally officers and ralliers.

As you are aware, we have taken the decision to cancel all rallies until the end of May.

The cheques for Burrs, Windermere and the Festival of the North have been cashed and arrangements are in hand for refunds from the rally officers. Please bear with them as they arrange this.

Cheques and bookings for The Whittingham Club and Hollingworth Lake have not been cashed and will be shredded by the rally officers.

We will continue to plan to hold rallies from the 1st June. We want to enable rally officers to be able to plan to hold rallies and enable members to book rallies with confidence that they will not be out of pocket.

As such the following guidance and practice will be adopted until further notice

  1. We will review our position on running rallies on a week by week basis and be guided by Government advice with primary concern being the safety of our members.

  2. Rally Officers should contact sites and confirm policies should rallies have to be cancelled at short notice due to Government advice/instruction.

  3. Rally officers can continue to accept bookings from members for rallies.

  4. To manage unnecessary costs Rally Plaques should not be ordered until confirmation that the rally is going ahead. We recognise that this may mean plaques are handed our retrospectively but I am sure members understand the rationale for this.

  5. Cheques will be sent to the Treasurer as normal, but will not be cashed until 7 days prior to the rally/event. This provides the opportunity for members who have booked onto the rally to make their own decisions on attending and inform the Treasurer/ Rally Officer up to seven days before the event of non-attendance.

  6. If a member informs the Treasurer/Rally Officer that they will not be attending prior to their cheque being cashed they will have their booking cancelled and the cheque will be destroyed/shredded. Cheques will only be returned to members if they have provided a stamped addressed envelope.

  7. After the cheque has been cashed a full refund will be offered in the event a member becomes unwell or has to self-isolate as a result of medical advice

  8. Were possible refunds will be made by direct payments to avoid unnecessary postage costs.

  9. If attendance at a rally is low the rally officer can still run the rally and should liaise with the Treasurer regarding costs and support required from club funds

  10. If the rally is going ahead but the rally officer is unable to attend then the Chairman/ Chairman’s Rep./ Committee member will step in to assist and run the rally.
